Import Data Window

Administration menu-> Import Data...

The Import Data window is used by Job Manager Administrators to import data contained in tab delimited text files into the database. Before attempting to import data, review the Data Import Rules, Requirements, and Restrictions section of this guide.

The Import Data window provides the ability for the Administrator to import data into the database.

Folder Types

Selector for the various Folder Types corresponding to the data you want to import. Both default and user defined Folder Types are available for selection.

Available Fields

Non-required fields available for the selected Folder Type are listed here. Any fields defined for the selected Folder Type will appear in the Available Fields list, except for File Collector and Thumbnail fields.

Fields to Import

Displays both the required fields for the Folder Type and any available fields added to the list. Required fields appear in boldface type. Note that the order of fields in the Fields to Import list can be changed to correspond with the left to right order of your data import text file.

Add Fields

Adds the field selected in the Available Fields list to the Fields to Import list. Fields added to the Fields to Import list will be added beneath any field in the list that is currently highlighted. If no field is highlighted in the Fields to Import list, available fields will be added at the bottom of the Fields to Import list.

Remove Fields

Removes the field selected in the Fields to Import list. Fields that are removed will appear in the Available Fields list. Required fields appear in boldface type and cannot be removed from the Fields to Import list.

Order Fields

Move the selected field up and down in the Fields to Import list. The top to bottom order of the fields in this list should match the left to right order of the fields in each row of your data import file.

Import

Opens the Import File selector window for choosing your import data file.

Close

Closes the Import Data window.

Procedures

Opening the Import Data Window:

Note: There is no direct link from the Job Manager web client Administration page to the Job Manager desktop client Import Data window. The procedure below describes how to open the Import Data window by first launching the Job Manager desktop client by using an existing link.

1. Click the Custom Queries or the Print Forms link in the Administrator tab of the Job Manager web client. The Portal Integration Tool reminder message will appear. (If you have turned off the Portal Integration Tool warning message, the Job Manager desktop client will open to the Reports and Custom Queries window or the Print Forms Administration window.)
2. Click OK ( ). The Portal Integration Tool download reminder will close. The Job Manager desktop client will open to either the Reports and Custom Queries window or the Print Forms Administration window (depending on the initial link used to launch the Job Manager desktop client.)

Note: If the Portal Integration Tool is has not yet been installed, you will need to install it before you are able to open the Job Manager desktop client. For more information on this, refer to the "Portal Integration Tool Guide".

3. Close the Reports and Custom Queries window or the Print Forms Administration window (depending on which is open).
4. Select Import Data... in the Administration menu of the desktop client. The Import Data window will open.

To import data into the database:

Warning: Before attempting to import data, it is important to familiarize yourself with the contents of this chapter, particularly the Preparing to Import Data and Data Import Rules, Requirements, and Restrictions sections.

1. Open the Import Data window (if it not already) by selecting Import Data... in the Administration menu of the Job Manager desktop client application.
2. Select the Folder Type corresponding to the data you want to import by clicking the Folder Type selector and selecting a Folder Type from the list. Available Folder Types are described in the Database Families and Folder Types Available for Import section of this guide.
3. Sort the order of the Fields to Import list. This top to bottom order of the Fields to Import List should correspond to the left to right order of fields in each line of your data import text file.
4. Click Import. A File Browser window will open, allowing you to browse to and select the data import text file you would like to use for importing data.

5. Select and Choose the data import text file containing the data you want to import to the database. The file will be imported to the database. If errors are encountered, an error message will displayed. If no errors are encountered, a success message will be displayed and your imported data will be in the database.
